Almost every employee in every organization understands the importance of his work which can drive his company to generate revenue and profit. However, many of those usually are unable to comprehend just how their company is able to create a thriving environment where they and their peers can do their work without any interruption and help the company grow further. This ‘invisible mechanism’ works towards achieving a list of prerequisites which can create a conducive environment for the employees. Its highlights include:
- Setting up a reliable framework that can detect errors which can cause losses in the future, and eliminate those at the earliest.
- Creating a favorable working environment for all the employees so that they can focus on their job efficiently without worrying about anything else.
- Instilling trust and confidence in current and future clients regarding the high standards of the products and services of the company.
In general terms, this mechanism is known as Standard Operating Procedure(s) (SOP) which is one way of communicating the right way to go about a task, without saying anything directly. Due to the great results which companies around the world have achieved so far with SOPs, these have gone on to become the lifeline of many major business organizations globally.
Before you create and implement SOPs and derive its benefits, you must deal with a few essential considerations, which can help you gain better benefits in the future. These include:
Engage a small team to write SOPs, and to execute them
Ideally, a team of two can handle the function of SOP creation a lot better. These two members must be related to the business unit that will be affected by SOPs. Also, they should be directly responsible for execution and following the directions they have themselves created, leading others in the team by example. Because it will be related to their own unit, they will know the associated technicality inside out, and will have the best resources to work around it.
Benefit from two great perspectives
Agreed that one person can never write SOPs to drive maximum output. However, imagine your entire team discussing these guidelines, and no consensus forming up even after an entire day. 2 is the ideal size for a team of subject matter experts who can discuss their ideas, take things from different perspective, and adopt mutually consented procedures for real time practice.
Have your team follow the guidelines
Many employees often have a fraction of their total employee strength following the orders and do as they are told. It is indeed a natural tendency as well to deviate from the common developmental goal over time into the one that seems as more ‘adjustable to their lifestyle’. It will be only after they stick to the plan that they will be able to adhere to the SOP guidelines, and induce and integrate them with their usual work life.
